Adding New Users

Add, Invite, and Import Users

There are three ways to add users via the Users tab.

 

 

If you click on the red "Add New User" button you will see you can add a user, invite a user, and import users.

 

Add User

Adding a user to the platform allows you to set the users password. You will have to manually send the users all of their login information.

 

 

Fill out first name, last name, email address (this will be their username), and password fields.

You can choose to expire the user on a certain date by using the calendar drop down.

Choose the correct learner group to assign the user to (see the Learner Group Settings article).

Assign the user to an enterprise if applicable (see the Enterprise IDs article).

Choose the appropriate role to assign the user to. There are 4 roles a user can be assigned to:

  1. Member: This user role only has access to the Users Page. This user does not have admin access.
  2. Admin: This user has super admin access. Only assign a user this role if they need to edit settings and content.
  3. Office Admin - Read the Office Settings article to learn more about this role.
  4. Enterprise Admin - Read the Enterprise IDs article to learn more about this role.

Click the red "Add new" button to register the user for the platform.

 

Invite User

Inviting a user to the platform will trigger a system generated email to send to the users email address. This email will allow the user to register themselves for the platform. The user will create their own password.

 

 

Fill out first name, last name, and email address (this will be their username) fields.

You can choose to expire the user on a certain date by using the calendar drop down.

Choose the correct learner group to assign the user to (see the Learner Group Settings article).

Assign the user to an enterprise if applicable (see the Enterprise IDs article).

Leave the Invitation check box selected. Click the red "Add new" button to send a registration email to the user. If a user has not registered using the email, their status will display as pending. You can resend user invitation by editing the user and clicking on the "resend invite" button.

 

Import Users

To add a large number of users to the platform, you can use the import users feature.

Download the excel template by using the link in the platform when selecting Import Users from the Add New User drop-down menu. You can add or invite users using the import users feature. Once you are done filling out the excel template, drag and drop or upload the file into the gray upload box pictured above. If there are any errors the system will give you the cell location of the error so you can correct it.

Tips on using the import users feature:

1. Do not change the formatting of the excel template in anyway. This includes adding new columns, changing the font, changing the font size, etc. 

2. All offices, enterprises, and learner groups you want to assign to your users must be created before you upload the users using the excel sheet.

3. All offices, enterprises, and learner groups must appear exactly as the do in the Rockstar Learning platform. This includes capitalization, and spaces. It is recommended to copy and paste the names from the platform into the excel sheet. 

4. If there are any errors on the sheet after you upload, the system will tell you. You can correct the errors and re-upload the sheet. 

5. If you want your users to get email invitations, leave the password field blank. 

6. If you need to add multiple offices or learner groups to a user, use commas and no spaces between names. Ex. learner group 1,learner group 2,learner group 3. 

7. When giving office and enterprise admin permissions, 1 = permission 0 = no access. Use commas between the 0's and 1's.
